Terms of Service

By registering for or using FirmaHub (firmahub.my), your company agrees to these terms. Please read them together with our Privacy Policy. This is a translation; if it differs from the Malay version, the Malay version prevails.

1. The service

FirmaHub provides an online office system (quotations, invoices, projects, workers, payroll, documents and related features) that your company accesses through the website and phone app.

2. Accounts

• The person who registers becomes the company Admin and is responsible for the staff accounts they create.
• Each login ID is for one person and can only be active on one device at a time. Do not share passwords.
• Please tell us immediately if you suspect someone else is using your account.

3. Free trial

New companies get a free trial (normally 1 month) with all modules. When the trial ends, office access stops until a plan is paid for. Your data is kept for 90 days after the trial ends.

4. Plans and payment

• Prices are as shown on the Pricing page, paid in advance monthly or yearly.
• A plan is activated once payment is confirmed.
• Fees for a period that has already started are not refundable.
• If a plan is not renewed by its end date, office access may be suspended until payment is received. Data is kept for 90 days.
• We will give at least 30 days' notice before changing the price for existing subscribers.

5. Acceptable use

You must not use FirmaHub for anything illegal, share logins with people outside your company, try to access other companies' data, disrupt or attack the system, or resell the service without our written permission.

6. Your data and your responsibilities

• Your company owns its data and is responsible for its accuracy and for having the right to store it (for example, the personal data of your staff and clients).
• Payroll, statutory contributions (EPF, SOCSO, EIS, PCB), zakat and tax figures in the system are aids only. Your company remains responsible for checking them and for submissions to the relevant authorities.
• You may ask for a copy of your data at any time.

7. Availability

We work to keep FirmaHub available at all times and make daily backups, but we cannot guarantee uninterrupted service. There may be maintenance or disruptions outside our control (for example internet or power outages).

8. Limitation of liability

To the extent permitted by law, FirmaHub is not liable for indirect losses such as lost profit or lost business. Our total liability for any claim is limited to the fees your company paid in the 3 months before the claim.

9. Ending the service

Your company may stop using FirmaHub at any time by not renewing. We may suspend an account for non-payment or for breaching these terms, and will try to contact you first where possible.

10. Changes to these terms

We may update these terms. Important changes will be announced on this website or by email. Continuing to use FirmaHub after that means you accept the updated terms.

These terms are governed by the laws of Malaysia.
